Privacy Policy

This policy explains what information the Nova Practice website and Discord bot collect, why, and what you can do about it. It describes what the software we run actually stores today.

1.Introduction

Nova Practice (“Nova”, “we”, “us”) runs a website, a Discord bot and several Discord servers for competitive Fortnite practice sessions. We keep the information we collect to what is needed to run those things.

2.Information we collect

We collect information in three ways: from Discord when you sign in, from what you do on the website and in our servers (for example, registering for a lobby), and from tools we use to run sessions (Yunite).

We do not run advertising or third-party analytics trackers on the website, and we do not sell your information.

3.Discord information

When you sign in with Discord we ask for these permissions (scopes): identify, guilds and guilds.members.read. Through them we can see:

  • Your Discord user ID, username or display name and avatar.
  • The list of servers you are in and your membership in ours (so we can confirm you are a member).
  • The roles you hold in our server (so we can decide what you can access, such as a lobby's dropmap or the dashboard if you are staff).

We do not ask for your email address. Our bot also reads your roles and basic member details from our own server using its bot permissions, for example to check whether you may register for a lobby.

4.Account data

When you sign in, our website stores an account record containing your Discord user ID, your name and your avatar link. It also stores the sign-in connection with Discord, which includes the access and refresh tokens Discord gives the website, their expiry and the permissions granted. These tokens are kept in our database and are used only for signing you in and checking your server membership.

5.Scrim registration data

When you register for a lobby we store your Discord ID, your username at that time, when you registered or unregistered and, for dropmaps, which spot you marked and when. After a session we may store your final placement, points, eliminations and whether you qualified for a higher division.

Session results come from Yunite, which also provides your team's members and their Epic Games names, Epic IDs and linked Discord IDs. Leaderboards on our website display Epic names and results. Staff-only logs record who registered, unregistered, moved or removed whom.

6.Staff and application data

If you apply to join staff we store what you submit (your answers, availability, experience, an age range and any extra information), your Discord ID and username, and the decision and the staff member who made it. Applications are sent to a private staff channel on Discord for review.

7.Appeal data

If you submit an appeal we store your Discord ID and username, the ban reason you give, your appeal text, its status, and the decision, who made it and any staff note. Appeals are sent to a private staff channel on Discord for review. We also keep moderation records (bans, mutes, warnings and similar actions) with the target, the moderator, the reason and the time.

8.Technical information

Our servers may keep standard operational logs, such as errors and request details, while the website runs. Our hosting provider may keep its own access logs, which can include IP addresses and browser details. The website application itself does not record your IP address in its database.

The bot records which command was used, by whom and when, so staff can see usage and troubleshoot problems.

9.Cookies and sessions

The website uses cookies that are needed to keep you signed in and to protect sign-in: a session cookie that identifies your login session, a CSRF-protection cookie and a short-lived callback cookie used during sign-in. They are strictly necessary for the website to work. We do not use advertising or analytics cookies.

Your login session is stored in our database until it expires or you sign out.

10.How we use information

  • To sign you in and decide what you can access.
  • To run sessions: registrations, role assignment, dropmaps, results and leaderboards.
  • To review staff applications and appeals.
  • To moderate our community and keep an audit trail of staff actions.
  • To keep the website and bot working and to fix problems.

11.Moderation and security

We keep moderation records and staff logs so that decisions can be reviewed, repeat behaviour can be handled and abuse of our services can be investigated. Permission checks on our website and bot use your live Discord roles.

12.Data sharing

We do not sell your information. We share it only as needed to run our services: with Discord (which is where our community lives), with Yunite (to run tournaments and calculate results), with our hosting providers, and with our staff team to the extent their role needs it. Public leaderboards show results and Epic names, not your Discord ID.

We may also disclose information if the law requires it or to protect the safety of our community.

13.Discord and third parties

Discord, Epic Games, Yunite and the social platforms we link to are independent services with their own privacy policies. What they do with your information is governed by those policies, not this one.

14.Data retention

We keep registration, results, moderation, application and appeal records for as long as they are useful for running and reviewing the community, and we do not currently delete them on an automatic schedule. Login sessions expire and are removed when they do. You can ask us to delete information about you (see below).

15.Data security

We take reasonable steps to protect the information we hold: access to administration features is limited to staff with the right permissions, checked on our servers, and sensitive keys are kept on the server and not in the website's code. No system is perfectly secure, and we cannot guarantee absolute security.

16.Your rights

Depending on where you live, you may have rights to see the information we hold about you, to have it corrected or deleted and to object to or restrict some uses. You can also stop sharing information with the website at any time by signing out and removing the app from your Discord settings (User Settings → Authorized Apps).

17.Data deletion requests

To ask us to delete your information, contact the Nova Practice staff team through our Discord server. We will check that the request comes from the owner of the account. Some records, such as moderation records and results, may need to be kept for a time where they protect the community or the fairness of results, and we will tell you if that applies.

18.Minors

Our services are intended for people who are old enough to use Discord under Discord's own terms. We do not knowingly collect information from people below that age. If you think a child has given us information, contact staff so we can look into it.

19.International users

Our community is based mainly in Europe, but our services and the platforms we rely on operate internationally, so your information may be processed in other countries than the one you live in.

20.Changes to this policy

We may update this policy when our services change. The date at the top shows when it was last changed. We will try to tell the community in our servers about significant changes.
